Project and task handover screen

Custom Software Design: A Practical Project Handover Checklist

Successful business software does more than look good. Your team needs to complete its work, and your organisation needs to understand what it receives and how the system will be managed after launch. Agree on requirements and deliverables early.

Start with the problem and workflow

Identify the process, such as order or inventory management, and its users. Document the steps, exceptions, permissions and reports, then distinguish launch essentials from later improvements.

Agree on testable acceptance criteria

For each feature, describe inputs and expected results. For example, an employee creates an order with required fields, an authorised manager can see it, and missing information produces a clear message. Test failure cases as well as the happy path.

What should you review before handover?

  • Complete core tasks using each user role.
  • Check reports, search and data exports where agreed.
  • Test agreed devices and browsers.
  • Review integrations, notifications and connection failures.
  • Record issues, owners and target resolution dates.

Documentation, assets and access

Specify code ownership and usage rights in the contract, including whether delivery covers the repository, database, design files and licences. Request operating documentation, an inventory of integrations and external services, and backup and restoration procedures. Keep hosting, domain and service accounts under the responsible organisation and review access securely.

Plan for launch and beyond

Agree on support duration, reporting channels, response times and the process and cost for changes. Train users, test backup restoration under the agreed plan and monitor issues after launch.
